Sample Wording

A police records check may be used as one of the screening tools. Potential volunteers are required to sign a consent form for requesting a police records check.

Screening processes relating to criminal convictions must be handled with great sensitivity and must consider the relevance of the conviction to the requirements of the position and the ability of the organization to supervise the volunteer.

It is illegal to discriminate against a volunteer without bona fide reasons. Any selection or rejection decisions must be fair and objective and must be made in accordance with human rights guidelines.

Why?

If your organization uses police records checks it's fair to let volunteers know up front. Those who may not wish to disclose a (relevant) record can screen themselves out

An organization cannot have a blanket policy that no volunteers with a criminal record may be placed in the organization. Relevance of offence to the position applied for has to be proven.

Specify which positions require a police records check

At what stage of the recruitment process should you perform the check? Most organizations recommend conducting the check later in the process to avoid unnecessary police checks

If there is a cost who pays?

How are records safeguarded?

Who receives the results from a police records check and who has access to the information?

What are relevant grounds for refusing a volunteer with a criminal record?

You need to show that the offence has relevance to the position the volunteer has applied for

Can a volunteer be offered a placement and start volunteering while awaiting the results from a police records check?

Will you accept volunteers who are performing a community service?

What convictions would make a community sevice volunteer inappropriate for a position?
